The Giving Groove
Privacy Policy
Effective: July 4, 2026
Who We Are
The Giving Groove is a Cultural Artifact House based in Philadelphia, Pennsylvania. We produce limited-edition music collectibles with permanent provenance tracking. This policy explains what information we collect when you register an artifact or participate in an event archive, how we use it, and what rights you have over it.
Questions or requests can be directed to support@thegivinggroove.com.
Scope of This Policy
This policy covers The Giving Groove's artifact registration system: the Artifact Registrar, the Ledger, the Chamber, ownership transfers, and event uploads.
Store purchases are separate. Products purchased through our online store are sold and fulfilled through Limited Run and its payment processors, which collect payment and shipping information under their own privacy practices. We do not receive or store your payment details. Limited Run's privacy policy is available at limitedrun.com/privacy. Products purchased at independent record stores are governed by those retailers' own practices.
What We Collect
When you register an artifact, we collect:
Your name. Used to identify you as the registered owner of your artifact on The Giving Groove Ledger.
Your email address. Used to deliver your Certificate of Authenticity, your Passkey, and to verify your identity during ownership transfers. We also use it to send you updates about your artifact if you opt in — you can unsubscribe at any time.
Your Collector Handle. A public identifier you choose at registration. It appears on the Ledger alongside your artifact. It does not need to be your real name — and if you value anonymity, it should not be.
Your Artifact ID and registration date. Recorded permanently on the Ledger as part of the provenance chain of your artifact.
Beyond the above and the event uploads described in the next section, we do not collect payment information, physical addresses, phone numbers, or any other information through the registration system.
Event Uploads
Certain artifacts — including Nightlys live event artifacts — allow registered owners to contribute photos and short videos to a shared archive of the event. When you upload, we collect:
The content you upload. Photos and videos you choose to submit, which may include images of you or of other people who were present.
Upload details. Your Artifact ID, your Collector Handle, and the time of upload, which are attached to your submission.
Uploads are reviewed by a curator before they appear in the event archive. Approved uploads are displayed inside the archive credited to your Collector Handle, and are visible to other registered holders of that event's artifacts. We may decline or remove any upload at our discretion.
If you appear in someone else's upload and want it removed, contact us at support@thegivinggroove.com and we will review the request promptly.
What We Do Not Collect or Store
Your Passkey. Your Passkey is generated once, delivered to you once in your Certificate of Authenticity email, and never stored by us in retrievable form. We cannot recover it. This is intentional — your Passkey belongs to you alone.
Cookies and tracking. The artifact registration system does not use cookies for tracking, advertising, or analytics. Your browser's local storage is used for one narrow security function — preventing an ownership transfer from being completed on a single device — and contains no tracking identifiers. The online store on which this page is hosted is operated by Limited Run and may set its own functional cookies (such as shopping cart and session cookies) under its own policies.
We do not sell your data to third parties. We do not use your information for advertising purposes of any kind.
The Giving Groove Ledger
The Ledger is a permanent public record of artifact ownership. When you register, your Collector Handle and registration date are added to the Ledger entry for your artifact. Your name and email address are not displayed publicly — only your Handle.
The Ledger is designed to be permanent. This is the foundation of what makes a Giving Groove artifact meaningful: its provenance chain cannot be altered or erased. This permanence is a core feature of the product, not an oversight.
How We Use Your Information
We use the information we collect only to operate the artifact registration system. Specifically:
To deliver your Certificate of Authenticity and Passkey by email at the time of registration.
To verify your identity during ownership transfers, using your email address as the verification channel.
To maintain the Ledger — the permanent provenance record of your artifact.
To operate event archives — reviewing, displaying, and crediting uploads you submit.
To respond to support requests you send to us.
To send artifact updates if you opted in at registration. You can unsubscribe at any time by clicking the unsubscribe link in any email we send, or by contacting us directly.
We do not use your information for any other purpose.
Third-Party Services
We use a small number of third-party services to operate the registration system. Each handles data only as necessary to perform their function:
Resend — transactional email delivery. Your email address is passed to Resend solely to deliver your Certificate of Authenticity and any subsequent artifact communications. Resend's privacy policy is available at resend.com/legal/privacy-policy.
Supabase — database infrastructure. Your registration data is stored in a Supabase-hosted PostgreSQL database. Supabase's privacy policy is available at supabase.com/privacy.
Cloudflare — infrastructure, content delivery, and storage of event uploads. Network requests pass through Cloudflare's global network. Cloudflare's privacy policy is available at cloudflare.com/privacypolicy.
We do not share your data with any other third parties.
Your Rights
Regardless of where you are located, you may contact us at any time to:
Access your data. We will tell you what personal information we hold associated with your email address.
Correct your data. If your name or email address is incorrect, we will update it.
Delete your data. We will remove your name and email address from our records. As described above, your Collector Handle will remain on the Ledger as part of your artifact's provenance chain — but no personally identifying information will be retained or displayed. Please note: because your email address is the verification channel for ownership transfers, deleting it permanently ends your ability to transfer your artifact's registration.
Remove your uploads. You may ask us to remove content you submitted to an event archive.
Unsubscribe from communications. You can opt out of artifact update emails at any time. Certificate of Authenticity delivery and transfer-related emails are transactional and tied directly to actions you initiate — they are not marketing communications and cannot be opted out of individually.
To exercise any of these rights, email us at support@thegivinggroove.com. We will respond within 30 days.
European Residents (GDPR)
If you are located in the European Economic Area, the United Kingdom, or Switzerland, you have additional rights under the General Data Protection Regulation (GDPR) and applicable local law.
Legal basis for processing. We process your personal data on the basis of contract performance — registration creates a relationship between you and The Giving Groove, and processing your name and email is necessary to fulfill that relationship. We process Ledger data and event archives on the basis of legitimate interest in maintaining a permanent, accurate provenance record and a shared record of the event.
Right to erasure. You have the right to request erasure of your personal data. As described in the Ledger section above, we will remove your name and email address from our systems. Your Collector Handle will remain on the Ledger under legitimate interest — it contains no personally identifying information unless you chose to make it so, and its removal would compromise the integrity of a permanent provenance record that other parties rely on.
Right to portability. You may request a copy of the personal data we hold about you in a structured, machine-readable format.
Right to restrict processing. You may request that we restrict processing of your data in certain circumstances.
Right to lodge a complaint. If you believe we have not handled your data appropriately, you have the right to lodge a complaint with your local supervisory authority.
To exercise any of these rights, contact us at support@thegivinggroove.com.
Data Retention
We retain your name and email address for as long as your artifact registration is active, or until you request deletion. Your Collector Handle and registration record on the Ledger are retained permanently as part of the artifact's provenance chain. Approved event uploads are retained as part of the event archive unless you ask us to remove them or we remove them at our discretion.
If your registration is transferred to a new owner, your name and email are no longer associated with that artifact going forward. The Ledger records that a transfer occurred, but your personal information is not displayed.
Security
We take reasonable technical measures to protect your data. Registration data is stored in a secured database with access controls. Email delivery is handled by a dedicated transactional email provider. Your Passkey is never stored in retrievable form by us or anyone else.
No system is perfectly secure. If you have concerns about the security of your information, contact us at support@thegivinggroove.com.
Children
Our services are not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such information, please contact us and we will delete it promptly.
Changes to This Policy
If we make material changes to this policy, we will update the effective date at the top of this page. We will not retroactively reduce your rights under this policy without providing notice.
